2.Information we collect
When you get in touch
If you fill in a form on our website, call or email us, we collect the details you give us. That usually means your name, phone number, email address, postcode, the type of property and the service you’re interested in, and anything you include in your message.
When you become a customer
To survey, install and maintain your system, we also collect:
- the address of the property and, if different, your billing address
- information about the property and your system, such as the layout, where equipment is fitted, and access arrangements for our visits
- records of quotes, contracts, invoices, payments, service visits and repairs
- any correspondence between us
We don’t ask for or keep your alarm codes or the passwords for your camera system. If you share them with us to help fix a fault, we use them only for that visit, and we recommend you change them afterwards.
When you visit our website
We use Plausible Analytics to understand how our website is used, for example which pages are visited most. Plausible doesn’t use cookies and doesn’t collect personal information or identify individual visitors. It produces anonymous, combined statistics only.
3.How we use it, and why
Data protection law requires us to have a lawful basis for each way we use your information.
| What we use it for | Lawful basis |
|---|---|
| Replying to your enquiry and arranging a site survey | Taking steps at your request before entering into a contract |
| Preparing your quote, and installing and maintaining your system | Performing our contract with you |
| Invoicing, taking payment and keeping financial records | Performing our contract, and our legal obligations (such as tax rules) |
| Contacting you when a service is due, or before a maintenance contract ends | Performing our contract, and our legitimate interest in keeping your system working |
| Dealing with complaints, warranty claims and legal claims | Our legitimate interests, and our legal obligations |
| Understanding how our website is used | Our legitimate interest in improving our website (no personal information is collected) |
We don’t send marketing emails or texts. If that ever changes, we’ll only do so with your permission, and you’ll be able to opt out at any time.
4.CCTV footage and your system
The footage your cameras record is yours. We don’t routinely access it.
When we install a CCTV system, the recordings are stored on your recorder and controlled by you. We don’t monitor your cameras or alarm, and we don’t have ongoing access to your recordings.
If we need to view live images or recordings to set up your system, carry out maintenance or fix a fault, we’ll only do so with your permission, and only as far as the job requires.
If your cameras capture images beyond your own property, such as a neighbour’s garden or the street, data protection law may apply to you as the system owner. We’ll help you position cameras to limit this, and the ICO publishes guidance for people using domestic CCTV.
5.Who we share it with
We don’t sell your information. We only share it where we need to, with:
- service providers who help us run the business, such as our website host, email provider and accounting software: [list providers]
- equipment manufacturers or suppliers, if needed to handle a warranty claim
- our professional advisers, such as our accountant or insurer
- the police, courts or other authorities, where the law requires it or you ask us to
Our service providers may only use your information to provide their services to us, and must keep it secure.
6.International transfers
Some of our service providers may store information outside the UK. Plausible Analytics stores its anonymous statistics in the European Union. Where any personal information is transferred outside the UK, we make sure it’s protected by appropriate safeguards, such as a UK adequacy decision or approved contract clauses.
7.How long we keep it
- Enquiries that don’t lead to work: up to [12 months] after we last spoke, in case you come back to us
- Customer records: for as long as you’re a customer, then for 6 years after our last contract ends, so we can meet tax rules and deal with any claims
- Records of your system (equipment and where it’s fitted): for as long as we maintain it, then for 6 years
After that, we securely delete or destroy the information.
8.Cookies
Our website doesn’t use cookies for analytics, advertising or tracking. It may set a small number of strictly necessary cookies needed for the website to work and stay secure, which don’t need your consent.
The map on our contact page is provided by Google Maps. It only loads if you choose to view it. Once loaded, Google may set its own cookies, which are covered by Google’s privacy policy.
9.Your rights
You have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that’s wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use your information
- object to us using your information on the basis of our legitimate interests
- ask us to transfer information you gave us to another organisation
Some rights only apply in certain situations. For example, we may need to keep financial records for tax purposes even if you ask us to delete them. We’ll explain if that’s the case.
To use any of these rights, contact us on 0800 032 2920 or info@assuredsecuritysolutions.co.uk. There’s no charge, and we’ll respond within one month.
